Campus Requests for Alumni Database Information
The following policy has been established to ensure the privacy of our alumni:
The following agents of the University are allowed to request alumni information for valid University purposes that pertain to the mission of Truman State University:
How To Request Alumni Database Information
Any agent of the University who requests alumni information must sign an Alumni Database Info Request Form. In the case of a mailing, a copy of the material to be disseminated must be submitted along with the request.
All requests must receive final approval by the Coordinator of Operations, Advancement Office.
The Advancement Office will provide alumni information in the form of a paper list, mailing labels or Excel worksheet and any information provided is only valid for 30 days.
We can email the Excel worksheet, but please note that any information provided is only for the one-time agreed purpose and should be deleted after the stated purpose is accomplished (continuous updates are made to our alumni records, so after 30 days, you will need to request a new list). The Excel spreadsheets will contain the following information only:
No other personal information will be made available unless approved by an Advancement Officer.
Reminder For Sending Emails
To protect the privacy of recipients, always use a bulk email program or blind carbon copy (BCC) email addresses. BCC is the easiest way to insure that you are not accidentally disclosing someone’s email address.
A fee will be assessed to University Chartered Organizations to cover printing and material costs, and the fee is due before receipt of the printout. The Office of Advancement will call when your request is available, and it can then be picked up in McClain 205.
